Grub Club Loyalty Program - Fair Usage Policy

We’re proud to reward our loyal customers through the Grub Club Loyalty & Rewards Program. To ensure everyone gets a fair experience, we’ve put the following guidelines in place:

1. Loyalty discount limits
Loyalty rewards and discount codes can be redeemed for a value up to the full price of a 12kg bag of All-Day Buffet (currently £84.99). This cap ensures discounts are used for regular orders, not bulk stock-ups.

2. One reward, one delivery
Loyalty discounts are intended for use on your usual subscription order. For example, if you typically receive 6kg of All-Day Buffet on a monthly basis, your discount will be applied to that amount — not a supersized one-off order.

3. Designed for your dog’s regular routine
These rewards are built to say thank you for your ongoing support, not to enable deep stocking for the year. Orders that significantly exceed your typical subscription may not be eligible for full discount redemption.

4. Keeping it fair
We reserve the right to review and decline redemptions that fall outside of this policy to maintain fairness for all Grub Clubbers.

If you have any questions or need help applying a discount to your subscription, our customer experience team is always happy to help.

You can manage your future orders with us through your customer account.

The total price will be charged to the payment card we hold on your account for you at the time of the order processing for each specific order. We reserve the right to increase our prices. Grub Club Sensitive Dog Clinical Feeding Trial - Participant Terms and Conditions

Thank you for putting your dog forward for the Grub Club Sensitive Dogs Clinical Feeding Trial. This trial is led by our in-house veterinary surgeon and is designed to gather real-world feeding data from dogs with chronic skin and digestive sensitivities. Your involvement helps us refine our nutrition science, support other sensitive dogs, and contribute meaningfully to veterinary practice.

Before you begin, please read these Terms and Conditions carefully. They explain what you are agreeing to, how we will use your information, and the safeguards we have in place for your dog. By signing at the end of this document, you confirm you have read, understood and agreed to be bound by these terms.

1. Parties and About This Trial

1.1. These Terms are between you (the "Participant", "you") and Grub Club Pets Ltd, a company registered in England and Wales (the "Sponsor", "we", "us", "Grub Club"). The trial is overseen by Grub Club's in-house veterinary surgeon (the "Trial Vet"), supported by the Customer Experience team.

1.2. The "Trial" is the Grub Club Sensitive Dogs Clinical Feeding Trial, a non-interventional, observational feeding study during which your dog will be exclusively fed Grub Club's All Day Buffet for a minimum of 8 weeks and a maximum of 12 weeks (the "Trial Period"), and you will record weekly observations in a structured diary supplied by us.

1.3. The Trial is not a medicinal study. All Day Buffet is a complete pet food, regulated as such under UK feed law, and is not a veterinary medicine. Nothing in this Trial is intended to diagnose, treat, cure or prevent any disease.

2. Eligibility

2.1. You confirm that, at the time of signing and to the best of your knowledge, your dog meets all of the following criteria:

       Aged over 12 months.

Has a vet-confirmed history of chronic or recurrent skin and/or digestive issues.

Is not currently fed a hydrolysed or insect-based diet.

Has never previously been fed insect protein-based food or treats.

Has no planned medication changes during the Trial Period.

Is able to be fed All Day Buffet exclusively for the entire Trial Period.

Will receive no other foods, treats or supplements during the Trial Period unless agreed in writing in advance with the Trial Vet.

Is not currently receiving systemic (oral or injectable) corticosteroids.

       Is not pregnant or lactating.

Has no concurrent systemic illness, including (without limitation) heart disease, liver disease, diabetes mellitus, pancreatitis or kidney disease.

Has been off systemic antibiotics and antifungals for at least 2 weeks, and off systemic corticosteroids for at least 4 weeks, before the Trial start date.

2.2. Medication categories. You confirm your dog falls into one of the two groups below and that you have indicated which on the Vet Sign-Off Form:

Group A (not currently on medication): a minimum 2-week washout for systemic antibiotics and antifungals and a 4-week washout for systemic corticosteroids must be completed before the Trial start date.

Group B (currently on permitted medication): your dog must have been stable on the same medication and dose for at least 1 month, and where on allergen-specific immunotherapy must be on a maintenance dose for at least 1 month. Your dog must not be receiving oral or systemic corticosteroids.

2.3. Permitted medications during the Trial are limited to: antihistamines; topical therapies (for example Cortavance spray, Isaderm, therapeutic ear drops); JAK inhibitors (for example Apoquel, Zenrelia, Numelvi); cyclosporin (for example Atopica); monoclonal antibodies (for example Cytopoint); and allergen-specific immunotherapy at maintenance dose. Any other medication starts, stops or dose changes during the Trial must be reported to the Trial Vet without delay (see Section 7).

2.4. Geographic eligibility. The Trial is open to dogs ordinarily resident in the United Kingdom only. You confirm you are at least 18 years of age and the registered owner of, or have legal authority to make decisions regarding, the dog enrolled.

2.5. Honest disclosure. You agree to disclose any condition, medication, prior diet or other matter that could affect eligibility, both at enrolment and throughout the Trial Period. We may withdraw your dog from the Trial at any time if information you provide is found to be inaccurate, incomplete or out of date.

3. Veterinary Involvement

3.1. Trial Vet contact with Your Vet. We strongly encourage you to involve your dog's usual veterinary surgeon ("Your Vet") in your decision to participate. With your permission, given on the Consent Form, our Trial Vet may contact Your Vet directly to confirm trial suitability, share trial-related observations, and respond to any clinical questions arising during the Trial Period.

3.2. Your Vet's role. Your Vet remains responsible for your dog's clinical care throughout. The Trial does not replace, alter or override the relationship between you and Your Vet, and Grub Club's Trial Vet does not assume the role of treating veterinary surgeon for your dog.

3.3. Optional Vet Sign-Off Form. As a thank-you to Your Vet for the additional time involved, where Your Vet completes and returns our short Vet Sign-Off Form, you will be eligible for a Grub Club lifetime discount. Details of the discount will be confirmed in writing once the form is received. Completion of the Vet Sign-Off Form is not a condition of participation in the Trial.

3.4. Owner-declared eligibility. Whether or not Your Vet completes the Vet Sign-Off Form, you confirm in Section 2 that your dog meets the eligibility criteria, on the basis of your own knowledge and information from Your Vet known to you. Where information you provide is found to be inaccurate, incomplete or out of date, we may withdraw your dog from the Trial in accordance with Section 2.5.

3.5. You agree to inform Your Vet that your dog is participating in the Trial and to share these Terms with them on request.

4. What Grub Club Will Provide

A sufficient quantity of All Day Buffet to feed your dog exclusively for the Trial Period, delivered free of charge to a UK address.

Feeding and transition guidance, calibrated to your dog's weight and condition.

Access to the Trial Vet and Customer Experience team for trial-related questions during normal business hours.

A structured weekly diary template and any supporting materials.

Reasonable notice if any changes to the Trial design, food formulation or schedule become necessary.

4.1. The Trial food is provided to you free of charge solely for use in this Trial. You agree not to resell, gift or repurpose any food provided to you under the Trial. Any food unused at the end of the Trial Period is yours to keep, donate, or return at our cost on request.

4.2. No cash payment, fee, voucher or other financial incentive is offered for participation. Your dog's wellbeing and the integrity of the data are the focus of the Trial.

5. Your Commitments as a Participant

5.1. Exclusive feeding. You will feed your dog only All Day Buffet during the Trial Period, in the portions agreed with us, and will not provide any other foods, treats, chews, table scraps or food-based enrichment unless first agreed in writing with the Trial Vet. Fresh drinking water and prescribed medications are not affected by this commitment.

5.2. Weekly diary. You will complete and submit the weekly diary by the deadline communicated to you, recording the observations requested (which may include stool quality, appetite, energy, coat and skin condition, paw and ear behaviour, gas, and any concerns). Photographs may be requested, for example of skin, coat or ears, on a consistent weekly cadence.

5.3. Stable management. You will maintain your dog's usual exercise, environment, grooming products and household routine as far as reasonably practicable, so that observed changes can be attributed to diet rather than other variables. Where a meaningful change is unavoidable (for example, a house move, a new pet, a flea-treatment product change), you will record it in the diary.

5.4. Communication. You will respond to reasonable requests from the Trial Vet or CX team for clarification on diary entries within a reasonable time, normally within five working days.

5.5. Honest reporting. You will report observations honestly, including any decline in your dog's condition, any deviation from the feeding plan, and any other foods or supplements consumed (including accidentally).

6. Veterinary Safeguards

6.1. Your dog comes first. If at any point you have a clinical concern about your dog, contact Your Vet immediately. In an emergency, contact your nearest out-of-hours veterinary service. Do not wait for guidance from the Trial Vet before seeking urgent veterinary care.

6.2. Adverse events. You will report any of the following to the Trial Vet at the email address in Section 14 within 48 hours of becoming aware of them, in addition to seeking veterinary care where appropriate:

Persistent vomiting or diarrhoea (more than 24 hours).

Significant weight loss or refusal to eat for more than 24 hours.

Marked worsening of skin, coat, ear or paw condition.

Lethargy, collapse, neurological signs, jaundice or any sign of an acute medical event.

Suspected allergic reaction (for example facial swelling, hives, breathing difficulty).

Any new diagnosis or hospitalisation, irrespective of cause.

6.3. Suspending the Trial. The Trial Vet may, acting reasonably and in the dog's interest, suspend or end your dog's participation at any time, including where adverse events occur, where eligibility criteria cease to be met, or where instructed to do so by Your Vet.

6.4. Veterinary care costs. The Trial does not include or fund routine or emergency veterinary care. You remain responsible for your dog's veterinary fees, insurance, and pet care costs in the ordinary course. We strongly recommend you maintain valid pet insurance throughout the Trial.

7. Changes in Your Dog's Status

7.1. You will notify the Trial Vet promptly if any of the following occur during the Trial Period:

A new medication is started, or a medication is stopped or changed in dose.

A new diagnosis is made by Your Vet or any other veterinary professional.

Your dog becomes pregnant or is suspected to be pregnant.

Any vaccination, parasite treatment or surgical procedure is scheduled or carried out.

Any deviation from exclusive All Day Buffet feeding, intentional or otherwise.

8. Withdrawal

8.1. You may withdraw your dog from the Trial at any time, for any reason, without penalty. To withdraw, email us using the details in Section 14. We will confirm withdrawal in writing and arrange for any outstanding food deliveries to be paused.

8.2. Effect of withdrawal on data. Withdrawal will stop further data collection from you. Data already collected from you up to the point of withdrawal may continue to be processed for the purposes set out in Section 11, including in anonymised aggregate analyses, unless you also exercise your right to erasure as described there.

8.3. Right to refuse continued use of identifying material. You may at any time withdraw consent for future use of your name, your dog's name, or photographs. Material that has already been published or distributed before withdrawal cannot always be recalled, but no new use will be made.

9. No Guaranteed Outcomes and Limitation of Liability

9.1. No guarantees. Every dog responds individually to a change of diet. We do not promise that All Day Buffet will resolve, improve or affect any specific symptom in your dog. Some dogs will improve, some will remain stable, and some may not respond.

9.2. Statutory rights. Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be limited or excluded by law. Your statutory rights as a consumer (including under the Consumer Rights Act 2015 where applicable) are not affected.

9.3. Limitation. Subject to clause 9.2, our total aggregate liability to you arising out of or in connection with the Trial, whether in contract, tort (including negligence) or otherwise, is limited to the value of the food supplied to you for the Trial. We will not be liable for any indirect, consequential or special losses, including loss of profit, loss of earnings, or loss of opportunity.

9.4. Your responsibility. You confirm that the decision to participate is yours, made with the benefit of advice from Your Vet, and that you accept responsibility for your dog's general welfare and supervision throughout the Trial.

10. Data Protection (UK GDPR)

10.1. Data Controller. Grub Club Pets Ltd is the Data Controller for the personal data we collect under the Trial. Our contact details for data protection matters are set out in Section 14. Animal health information is not "personal data" under the UK GDPR, but information we collect about you as the owner is.

10.2. What we collect. We will collect and process the following categories of personal data:

Your name, postal address, email address and phone number.

Your dog's name, breed, age, weight, sex, neuter status and clinical history relevant to eligibility.

Veterinary information shared by you or Your Vet on the Vet Sign-Off Form, including practice name and contact.

Photographs and videos you submit, which may incidentally include people or property.

Weekly diary observations, free-text comments and any correspondence with the Trial Vet or CX team.

Technical metadata associated with submissions (for example timestamps and device information).

10.3. Purposes and lawful bases. We will process your personal data on the following bases:

Consent (UK GDPR Article 6(1)(a)) for your participation in the Trial, including weekly diary submissions and Trial-related communications.

Separate, granular consent for use of identifying material (your name, your dog's name and identifiable photographs) in marketing, public-facing case studies and academic or veterinary publications, as captured in Section 11 and on the Consent Form.

Legitimate interests (UK GDPR Article 6(1)(f)) for internal product research and development, anonymised aggregate analysis, food safety record-keeping, and the establishment, exercise or defence of legal claims, where such interests are not overridden by your rights and freedoms.

Legal obligation (UK GDPR Article 6(1)(c)) where we are required to retain records under UK feed safety, consumer protection or accounting law.

10.4. Recipients. Your personal data may be shared with: members of the Grub Club team on a need-to-know basis; the Trial Vet and any veterinary advisors retained by us under written confidentiality terms; our IT, hosting, email and analytics processors operating under written data processing agreements; our legal and professional advisors; and, where you have consented, marketing platforms and academic or veterinary publishers. We will not sell your personal data.

10.5. International transfers. Where personal data is transferred outside the UK, we rely on appropriate safeguards under UK GDPR (for example, the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses) and we limit such transfers to what is necessary.

10.6. Storage and retention. Diary submissions, photographs and correspondence will be retained for the duration of the Trial and for up to 7 years afterwards for research integrity, food-safety record-keeping and to defend potential legal claims. Anonymised aggregate data has no fixed retention period and may be retained indefinitely. Identifying marketing material will be retained for as long as it is in active use, and removed from active campaigns within a reasonable period after consent is withdrawn.

10.7. Your rights. You have the right, subject to the conditions in UK GDPR, to:

Access the personal data we hold about you.

Request rectification of inaccurate or incomplete data.

Request erasure of your personal data ("right to be forgotten").

Restrict or object to certain processing.

Receive your personal data in a portable format.

Withdraw any consent you have given, at any time, without affecting the lawfulness of processing carried out before withdrawal.

Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or 0303 123 1113.

10.8. Erasure and trial integrity. Where you exercise your right to erasure mid-Trial, we will remove your identifying personal data from our active records. We may retain anonymised diary observations in our research dataset where it is no longer possible to identify you from that data, and we will tell you if this applies.

10.9. Security. We use appropriate technical and organisational measures to protect your personal data, including access controls, encryption in transit, and processor due diligence. No system is perfectly secure; we will notify you and the ICO of a personal data breach where required by law.

11. Use of Trial Outputs, Photos and Testimonials

11.1. Internal use. Subject to Section 10, anonymised data may always be used for internal product research and development, formulation work, and customer experience improvements.

11.2. Aggregated marketing claims. We may publish aggregated, anonymised statistics arising from the Trial (for example, "X% of participating dogs showed improvement in coat condition after 8 weeks"). Such statements will be made on a reasonable and non-misleading basis and will be substantiated by underlying data, in line with the CAP Code, ASA guidance, and applicable advertising rules for non-medicinal veterinary products.

11.3. Named case studies, photos and testimonials. With your separate written consent on the Consent Form, you grant Grub Club a worldwide, royalty-free, non-exclusive, sub-licensable licence to use your first name, your dog's name, your photographs and videos, and your written or recorded testimonials, in marketing materials including but not limited to our website, social media channels, paid advertising, packaging, point-of-sale, email and PR. This licence is granted for so long as you have not withdrawn consent. Withdrawal of consent will stop new uses going forward as set out in Section 8.3.

11.4. Academic and veterinary publication. With your separate written consent on the Consent Form, anonymised or, where you specifically agree, identifiable Trial data may be submitted for peer-reviewed academic publication, conference presentations to veterinary professionals, and equivalent scientific or educational use. Where third-party publishers require additional permissions, we will seek these from you separately.

11.5. No medical claims. Whatever the channel, we will not represent your dog's outcome as a medical result, cure or treatment. We will use phrasing consistent with permitted nutritional and supportive claims for complete pet food.

11.6. Right of review. We will use reasonable efforts to share named case study material with you for sense-check before first publication. We are not obliged to do so and final editorial discretion rests with us, subject always to your consent and the truthfulness of any direct quotes attributed to you.

12. Confidentiality

12.1. During the Trial, you may receive non-public information about the All Day Buffet recipe, ingredient sourcing, production methods, or in-development products ("Confidential Information"). You agree to keep Confidential Information confidential and not to share it publicly (including on social media) during the Trial Period and for 12 months afterwards, save where the information is or becomes public through no act or omission of yours, or where disclosure is required by law.

12.2. You are free at any time to discuss your dog's general experience on the food (for example, posting that your dog is on a Grub Club trial), provided you do not disclose Confidential Information.

13. Changes to These Terms

13.1. We may need to make minor changes to these Terms during the Trial, for example to reflect operational, legal or regulatory updates. Where changes are not minor, we will notify you in advance and you will have the option to withdraw under Section 8 if you do not agree to them.

14. Notices and Contact

All notices, withdrawal requests, adverse-event reports and data protection requests under these Terms should be sent to:

Grub Club Pets LTD

Trial Vet & Customer Experience

Email: clinicaltrial@mygrubclub.com

Data protection enquiries: hello@mygrubclub.com

We aim to respond to non-urgent enquiries within five working days. For an emergency concerning your dog's health, please contact Your Vet or your nearest out-of-hours veterinary service immediately rather than waiting for our reply.

15. Governing Law and Jurisdiction

15.1. These Terms and any dispute or claim arising out of or in connection with them are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction, save that if you live in Scotland or Northern Ireland your local courts may also have jurisdiction.

16. Entire Agreement and Severability

16.1. These Terms, together with the Vet Sign-Off Form and Consent Form, contain the entire agreement between you and us in relation to the Trial. If any provision of these Terms is held invalid, the remainder will continue in force.
